Cost planning

Understand Vending Business Costs

A realistic vending budget separates one-time launch expenses, recurring operating costs, and a contingency reserve. Current program pricing must come from the current provider documents.

Build your budget in three columns.

01

Launch

One-time costs required to open and place the route.

02

Operate

Monthly and per-transaction expenses that continue.

03

Protect

Working capital and contingency for the unexpected.

Upfront expenses

Plan for the equipment or package, shipping, installation, payment setup, initial inventory, business registration, insurance, tools, storage preparation, and any transport needed to service the route.

Recurring expenses

Account for product replenishment, payment processing, software, connectivity, insurance, fuel, vehicle costs, storage, host commission or rent when applicable, cleaning, maintenance, and professional services.

Contingency and working capital

Keep a reserve for repairs, replacement stock, slow-moving inventory, location transitions, seasonal changes, payment delays, and unexpected operating costs. A sales projection is not a substitute for cash available to run the business.
